Summary:

The purpose of this position is to provide assistance to the Executive Vice President and Management Team, as assigned, in performing a variety of administrative duties with the highest level of integrity and managing all related information with discretion and confidentiality. The Executive Assistant must be resourceful, organized and detail oriented to coordinate meetings, prepare presentation materials and documents, and carry out multiple assignments.

Duties and Responsibilities:

  • Maintains calendar and contacts, schedules appointments, completes conference and meeting arrangements for assigned individuals
  • Assists with writing and responding to specific emails for Executive VP
  • Attends specific meetings, taking notes and issuing to team with appropriate follow-ups
  • Completes expense reports and handles reconciliation of receipts for designated individuals
  • Manages travel itineraries, to include costs and provides clear and comprehensive travel/meeting details to all attendees
  • Maintains an organized filing system of paper and electronic documents
  • Coordinates all aspects of internal meetings and includes all necessary team members
  • Arranges and works with team to coordinate events such as, dinners and customer and employee appreciation events
  • Types, formats, and produces documents such as proposals, presentations, and correspondence
  • Distributes and maintains customer contract documents working directly with CFO
  • Performs other tasks in accordance with business needs by demonstrating flexibility and willingness to constructively work as a team to complete all duties required to meet customer satisfaction within any department

Requirements, Skills & Qualifications:

  • High School Diploma or equivalent required
  • Minimum 5 years’ experience in an administrative/executive assistant position
  • Strong communication skills and professional presentation
  • Ability to maintain confidentiality
  • Eagerness to learn, with strong work ethic with the ability to handle changing demands, adaptable personality
  • Solid, practical knowledge Office Suite: PowerPoint, Excel and MS
  • Continuous sitting and typing, frequently talking and using eye and hand coordination and may also be required to climb or balance; stoop, kneel, crouch or crawl. Standing, walking, bending over, and repetitive use of legs are done occasionally.
