Our Client is a global firm looking for a Information Governance Operations Manager. This position can be based in one of their locations across the country. They have offices in Atlanta, Boston, Chicago, Cleveland, Columbus, Dallas, Detroit, Houston, Irvine, Los Angeles, Miami, Minneapolis, New York, Silicon Valley, Pittsburgh, San Diego, San Francisco, and Washington DC.

General Summary: The Information Governance Operations (IG Ops) Manager will work with local office staff to execute effective records management operations in conjunction with the Firm’s Information Governance and Technical Support Services teams. The Manager will provide development and support for office records personnel and staff on the uniform implementation of procedures for records functions including retention, disposition and transfer, and with respect to questions of access and confidentiality. The IG Ops Manager reports to the Associate Director for Information Governance and the Director of the Client Services department.

This role requires extensive knowledge of legal recordkeeping and experience with technology solutions related to records management. The position will also require tactical project skills to implement performance measurements to ensure the integrity of records and related metadata during the information lifecycle as well as system upgrades or replacements. The Manager will interact with lawyers, Office Administrators, Records department staff and other representatives of all offices, practice areas and internal administrative departments. Some travel may be required.

The IG Ops Manager is expected to perform all duties with a commitment to superior service, quality work product and an atmosphere of teamwork and continuous improvement. Above all, the Manager must fulfill the needs of the Firm in a manner which is consistent with the Firm’s visions and values.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • With Information Governance and legal practice professionals, create, organize and document the processes by which information is collected, shared, utilized, protected, cleaned and stored, while enhancing efficiency and saving the Firm from inaccurate record handling, information breaches and data corruption.
  • Review, evaluate and update processes now in place across the Offices, including:
  1. Develop standardized practices respecting records throughout the matter lifecycle;
  2. Develop and apply best practices for records information management (RIM), consistent with appropriate regional needs and requirements;
  3. Implement systems and procedures for categorization, storage and application of security controls around recordkeeping processes for physical records.
  4. Engage legal teams (lawyers, secretaries and staff) in developing workflows for receiving, storing, and retrieving electronic records ensuring all information is filed accurately according to established procedures.
  5. Educate Firm legal staff and IG/Records about information handling and filing requirements and best practices related to records management and compliance with Firm standard.
  6. Monitor and confirm that retention policies (including the final disposition of records) are followed.
  7. Oversee the lawyer departure and file transfer processes to ensure that data management is complete and secure.
  8. Assist with the design and delivery of training programs to support information governance initiatives for lawyers and staff.
  • Assist the Associate Director of Information Governance, Firm Director of Client Services, Technical Support Services and other Firm leaders in the implementation of the Firm’s records/document security solutions for ethical walls (information barriers) and client confidentiality compliance requirements.
  • Administer Firmwide records management systems and manage proposed projects requiring application changes or technical updates including integrations or interfaces with those systems.
  • Continually assess the Firm’s client information retention program, benchmarking against industry standards and best practices, to ensure appropriate information governance standards are met.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:

The successful candidate will have many of the following:

  • Significant records and data management experience, preferably in a law firm environment.
  • Excellent organizational skills including record keeping, data collection, and system information.
  • Ability to compile and analyze data and furnish information in report format, written correspondence, e-mail, or verbally.
  • Ability to work successfully in a team setting with a wide range of lawyers and staff members around the world. Excellent oral and written communication skills.
  • Dependable team leader with demonstrated experience developing and managing projects in a team environment.
  • Excellent judgment about when escalation is necessary or appropriate.
  • Excellent time management skills, including the ability to set priorities, flex with changes in requirements and meet deadlines.
  • Ability to handle pressure in a constructive and positive manner and contribute to creative resolution of problems as they arise.
  • Demonstrated initiative, commitment to professional growth for self and others.

EDUCATIONAL/JOB EXPERIENCE REQUIREMENTS:

  • Minimum of five years of records or information management experience; law firm experience preferred.
  • A current Certified Records Manager (CRM) certificate is highly desirable. PMP or IGP certifications are also highly regarded.
  • Bachelor degree or higher in Business Management, Information Science or related field preferred.
  • Experience with records management software, such as LegalKEY, iManage Records Manager (IRM) or FileTrail preferred. Candidates with extensive background with relational databases and information management systems will be considered.
  • Expertise with Intapp or iManage security products or iManage document management systems, accounting systems and archival software solutions is a plus.
